Booking Terms, Refund and Privacy Policy

Booking confirmation

A non-refundable deposit of 100% must be made and a confirmation issued by YAMBI Tours (company) before any binding contract exists. Once we receive your deposit, we will invoice you for the entire tour cost. This must be paid not less than 60 days before the start of the tour (or by an alternative date agreed between you and the our company).

Accepted Payment Methods

    • Cash: We accept Rwandan francs, US dollars, and Euros.
    • Major Credit Cards: Visa, Mastercard, UnionPay, Amex.
    • Online Payments: Secure transactions can be made through our website via Stripe, PayPal or Payoneer.
    • Bank Transfers: We send you our bank account details.

Payment fees and Taxes

For transactions conducted onsite at our offices in Rwanda, Uganda or Ethiopia, a 3% credit card processing fee will be applied in addition to Value Added Tax (VAT) which will be charged as required by each country’s tax regulations:

  • Rwanda: 18% VAT
  • Uganda: 18% VAT
  • Ethiopia: 15% VAT
Payments processed online through our website incur only a 3% processing fee.

Permits and refunds

Gorilla and tourist permits are non-refundable with a 100% cancellation fee. However, we understand that plans can change. As such, we offer the option to reschedule your permit or booking for a 30% processing fee. Please note that rescheduling is subject to permit availability and any price differences at the time of rebooking.

Cancellation by the Company & Refund

We reserve the right to cancel the contract before full payment for any reason, with a full refund provided. After full payment, cancellation will only occur due to unavoidable circumstances beyond our control.

These unavoidable circumstances can involve civil unrest, terrorism, natural disasters, sudden wildlife or environmental restrictions, such as park closures for conservation or animal migrations; health outbreaks triggering travel advisories; infrastructure disruptions, including impassable roads or fuel shortages; government actions like lockdowns, new permit restrictions or border closures; extreme seasonal conditions such as unseasonal floods or storms; logistical failures impacting essential supplies or personnel; and animal-related risks, like aggressive wildlife behavior posing safety threats.

In such cases, we’ll offer you an equivalent service or a full refund. No additional compensation will be paid beyond the total sum received from you.

Refund Processing: Refunds will be processed within 14 business days to the original payment method, with email notification of the refund status.

The Company is not responsible for unforeseen circumstances such as flight, bus or train delays or cancellations; the failure of embassies or consulates to issue visas; the inaccessibility of certain tourist attractions due to the actions of government bodies; the actions or services of accommodation and other facilities visited during the tour; or incidents such as injury, illness, or loss of personal belongings.

Travel insurance

Travel insurance is mandatory for all Clients. At the time of booking, each Client must arrange his or her own insurance, with protection for the full duration of the tour, to cover personal injury, medical expenses, repatriation expenses, loss of luggage, and the expenses associated with cancellation or curtailment of a tour.

If you become ill, all hospital expenses, doctor fees, and repatriation costs are your responsibility and the Company shall not be liable for any refund of the tour cost.

Privacy Policy

We are committed to maintaining the accuracy, confidentiality, and security of your personally identifiable information (“Personal Information”). As part of this commitment, our privacy policy governs our actions as they relate to the collection, use, and disclosure of Personal Information. We are responsible for maintaining and protecting the Personal Information under our control.

  • Data Collection and Use: We collect personal information such as your name, contact details, passport information, and payment details to process bookings and secure permits. This data is used solely for tour-related purposes and shared only with necessary third parties (e.g., permit authorities, hotels) under strict confidentiality agreements.
  • Data Retention and Rights: Personal data is retained for 5 years after your tour for legal and accounting purposes, after which it is securely deleted. Customers have the right to request access to, correction of, or deletion of their data by emailing hello@yambitours.com.
  • Data Security: All data is stored on secure servers with encryption, and payment transactions are processed through PCI-DSS-compliant gateways (Stripe, Pesapal, PayPal).

Deposit Policy

Payment for the tour is a critical component of our operations, essential for covering pre-tour expenses such as permits, hotels, vehicles, visa etc. Given that these costs are incurred well before the tour commences,  we’ve implemented a cancellation policy with associated charges to offset potential losses.

Late Payment Consequences: Failure to pay within 15 days of the due date may result in cancellation of your booking, with the deposit forfeited. You will be notified via email of any impending cancellation due to non-payment.

Cancellation and Refund

All cancellations must be submitted in writing by the individual or tour operator who made the booking. Please email hello@yambitours.com to initiate the cancellation process. Once the tour begins, no refunds will be given for unused portions or services. Any changes or early departures from the tour will be at your own expense and liability.

Refund in case of cancellation:

  • Cancellations 60+ days before the tour: 50% of the total cost (minus non-refundable permits).
  • Cancellations 30-59 days before the tour: 75% of the total cost (minus non-refund permits).
  • Cancellations within 30 days: 100% of the total cost.

Refunds will be processed within 14 business days via the original payment method.

Change of Itineraries

While changes to your tour are unlikely, we may occasionally need to make minor adjustments before or after booking. We’ll inform you promptly of any modifications. We reserve the right to alter the itinerary after departure if it’s in your best interest, without compensation. Additionally, we won’t provide compensation for cancellations or changes due to force majeure events beyond our control, such as natural disasters, political unrest, or severe weather.

Prices & Inflation

Published prices are based on costs at the time of publication. We reserve the right to change published prices at any time before your booking is made. We reserve the right to increase the cost of your package if the government imposes new taxes or increases existing taxes, the currency fluctuates, or fuel charges increase. We will inform you of any price increases at least 30 days before the tour.
  • Price Adjustment Limits: If the price increase exceeds 10% of the original cost, you may cancel without penalty and receive a full refund within 14 business days.

HEALTH AND SAFETY REQUIREMENTS

Gorilla and other primate trekking requires adherence to strict health and safety protocols. Clients must not have contagious illnesses due to primates’ susceptibility to human diseases. A moderate fitness level is required for trekking. Violation of park or health rules may result in removal from the tour without refund.
Disclosure: Health requirements will be communicated at booking, ensuring customers are informed of risks and requirements.

ACCESSIBILITY AND SPECIAL NEEDS

We strive to accommodate travelers with disabilities or special needs. Please inform us of any requirements at the time of booking. Additional costs, if any, will be communicated transparently. We cannot guarantee all accommodations but will make reasonable efforts to meet your needs.
